• Banking details, in the case of debit orders that need to be processed

• Attendance of, or participation in, events and projects
• Enquiries or voluntary submission of information through our website or social media

4. What Do We Do With This Information?

We only use your information in a manner that is appropriate, considering the basis on which it was collected.

All information is stored on a donor database in order for us to serve our donors, supporters and the beneficiaries of donations to the best of our ability.

4.1 Acknowledgement

Donor information is used to thank donors for their support and to report back on the programmes or projects they support.

Donor names are used to issue receipts, including Section 18A tax receipts. For this purpose, postal addresses must appear on the Section 18A receipt.

Email addresses are used to send receipts and acknowledgements to our donors.

Telephone numbers may be used to follow up if receipts are undelivered, to ensure that contact information is up to date, and to keep in touch with donors.

4.2 Reporting and Feedback

Contact information is needed to comply with reporting or feedback requirements of donors, especially where donations were made for a specific purpose.

4.3 Communication According to Donor Preference

Contact information may also be used to keep donors or supporters updated through personal letters, email newsletters, hard copy newsletters or other communication material relating to needs, events and work that may be of interest to them.

For this purpose, available contact information may be used, including mail, email, telephone calls, text messaging and personal visits, in line with the preferences and permissions provided by the donor or supporter.

5. When We Share Your Personal Information

We will only share your personal information with third parties in the following circumstances:

• If you have given explicit consent for us to pass the information on to a third party or to use it on a public platform.
• If we are compelled to do so in the execution of our responsibilities.
• If the information needs to be distributed to AKB employees who assist in providing services to the data subject and need the personal information in order to render a proper and efficient service.
• If we use a third party purely for the purpose of processing personal information on our behalf, and we have a service level agreement in place with that third party which fulfils our legal obligations.
• If we need to do so in order to fulfil an agreed obligation to the data subject.
• If we are required by law to share donor data.
• If the information is already in the public domain.

We will ensure that all employees who have access to personal information are bound by appropriate and legally binding confidentiality and non-use obligations.

We do not share data with anyone outside the borders of South Africa.

6. How Do We Safeguard This Information?

As part of our security model, we have implemented firewall technology, password controls, encryption processes, antivirus software and physical security measures.

We have ICT policies in place to ensure the security of data. Every officer, employee, Board member, Committee member and supplier of AKB is required to adhere to these policies.

Identified staff members have limited access to personal information in line with their job requirements, in order to execute their tasks effectively.

Officers, employees, Directors and Committee members will be held accountable if they breach this policy, including but not limited to disciplinary action in terms of the AKB Disciplinary Code and Procedures.

7. Obtaining Consent

We will use your personal information to communicate and transact with you through text messages, telephone, social media, postal address, website or email, in accordance with the permissions explicitly given by you.

The purpose of this communication is to improve your interaction and experience with AKB.

8. Your Rights

You have the following rights regarding your personal information:

• You may revoke your consent at any time.
• We will provide unsubscribe links at the bottom of marketing emails for this purpose.
• You have the right to request the correction or deletion of your information.
